General Information

The 22nd Biennial Winter Fluorine Conference, sponsored by the ACS Division of Fluorine Chemistry, will be held at the TradeWinds Island Grand Resort, in St. Pete Beach, FL, on January 11–16, 2015.

 

The conference will feature invited plenary and oral presentations as well as contributed papers and posters by fluorine chemists. This conference provides a forum to discuss progress in modern Fluorine Chemistry including new developments in Organic, Inorganic, Physical, and Medicinal and Biological Chemistry.

Registration

Registration is now open and closes on Friday, December 26, 2014.  Registration for members, nonmembers, students and press will include access to the opening reception on Sunday; the technical sessions; breakfast, exhibit and poster session; and the banquet reception and dinner on Thursday evening.  Guest registration options are also available to all attendee spouses.  Guest may register as a guest with all event tickets or as a guest with no tickets and purchase individuals tickets to the event(s) they wish to attend.  Attendees are encouraged to register in advance as onsite fees will be slightly higher.

Cancellation Policy

Cancellation of registration must be made in writing by Monday, December 15, 2014 in order to receive a full refund less a $25 cancellation processing fee.  Cancellations should be sent by fax to (614) 447-3671.  Cancellations received after December 15, 2014 will not be honored.

Housing

Housing is now open and will close on Sunday, December 14, 2014.  A block of rooms have been reserved at the TradeWinds Island Grand Beach Resort in St. Petersburg Beach, FL at a discounted rate of $139.00 single/double occupancy (not including room and occupancy tax). 

 

Participants are encouraged to make their hotel accommodations at the TradeWinds Island Grand Beach Resort in order to assist the conference with meeting its contractual obligation with the hotel.  On behalf of the ACS Division of Fluorine Chemistry, we appreciate your support!

*For bus arrival groups, parking arrangements must be made in advance.  Due to limited parking facilities, no oversized vehicles, trailers or RV’s are permitted to park on property without prior arrangements. 

Parking for non-overnight drive-in guests will be subject to availability and will be charged a $15 parking rate per day.  Valet parking is also available for an additional $8.00 per day and subject to availability for non-overnight availability.

Confirmations

Each guest will receive a confirmation of their reservation provided that they supply the hotel with their email address when making online reservations. Review this document carefully for accuracy.  Each confirmation contains a unique number that is proof of your reservation at the TradeWinds Island Grand Beach Resort.  We strongly recommend that you bring your confirmation with you to the meeting.  If you lose or do not receive your confirmation, you can obtain another by contacting the TradeWinds Island Grand Beach Resort. 

 

Accommodations for Guest with Disabilities

If you require special hotel accommodations because of a disability, please indicate your requirements when you make your reservation.  Be sure to reconfirm any special room arrangements directly with the hotel.

 

Reservations Payment Type

Hotel reservations can be guaranteed by credit card (American Express, MasterCard, or VISA).

While a valid credit is required to confirm a reservation, please note that the hotel may elect to charge a deposit of one night’s room and tax to your credit card prior to your arrival If the charge to the credit card is denied, the hotel reserves the right to release your reservation.

 

Cancellation Policy

Reservations should be cancelled 48 hours prior to your arrival date to the hotel.  Reservations not cancelled within 48 hours will be subject to a one night’s room and tax charge. 

Exhibition

Take advantage of the opportunity to showcase your company products and services and network with attendees and other companies during the 22nd Winter Fluorine Conference by registering as an exhibitor or sponsoring an event. 

The exhibition will take place on Wednesday, January 14 from 8:00 AM – 10:00 AM. The exhibitor registration fee is $500 and exhibitors may register from July 17, 2014 - December 12, 2014. 

Each exhibitor will be supplied with a 6’ skirted table with two chairs, name card, and a wastebasket.

Exhibitors may setup on Wednesday, January 14 from 7:00 AM – 8:00 AM and teardown will be from 10:00 AM– 11:30 AM.

Applying for a Non-Immigrant VISA

 If you need to apply for a temporary non-immigrant visa to attend the 21st Winter Fluorine conference, you are advised to apply for your visa as soon as possible and no later than 3-4 months in advance of your planned departure. If your country is on the State Sponsors of Terrorism List, you should start the application process at least 6 months in advance of the meeting.

Visa Application Guidelines: As part of new security procedures, visa applications are being sent to the U.S. State Department in Washington, DC, to be thoroughly reviewed and this process can take several months before the consulate in your home country will schedule your interview. Check with your local U.S. consulate or embassy to find out how early you should apply and how long the typical wait time is for a visa application within your home country at http://travel.state.gov/visa/temp/wait/wait_4638.html.

  • All applicants must be able to qualify for a visa on their own merits under the requirements of the Immigration and Nationality Act.
  • The conference organizers cannot intervene with the U.S. State Department or an American embassy in another country on behalf of any meeting participant.
  • Investigate whether your country participates in the Visa Waiver Program to bypass the visa process altogether. As of October 26, 2004, ALL citizens of the Visa Waiver Program are required to have Machine-Readable Passports (MRP) in order to travel to the United States without a visa. Without a MRP, you will be required to apply for a visa.
  • Beginning September 30, 2004, all foreign visitors (including Visa Waiver Program travelers) will be fingerprinted and photographed upon arrival in the U.S.

ACS provides several documents that will verify your participation in the 21st Winter Fluorine Conference.  Please note that the Society cannot intervene with either the U.S. Embassy abroad or with the U.S. State Department on behalf of any participant.

  • Official Letter of Invitation for Meeting Attendees: ACS offers an official letter of invitation to the 22nd Winter Fluorine Conference. To request a letter of invitation, contact Kimberly Savage.  You can submit this letter with your visa application to verify the name, dates, location and purpose of the conference.  We will not be able to generate personal letters of invitation to the embassy or consulate on your behalf.
  • Registration Confirmation: Once you have registered for the conference, you can also take your registration confirmation paperwork to your visa interview.
